Most teams plan Christmas merch backward from Christmas. That is the wrong anchor, and it is why so many orders arrive in the first week of January.

The date that matters is the last day your people are in the office, or the last day a courier can reach a home address before everything shuts down. For many companies that falls somewhere between 11 and 18 December. Work backward from there through four stages, not one: design, approval, production, then shipping.

Only one of those is printed on the product page. Monday Merch product timelines currently allow 0 to 1 business day for free design, list a standard production time for each product, and add a shipping estimate for the chosen destination. They also warn that revisions or later approval move the delivery dates.

There are two layers to get right. Monday Merch publishes official deadline bands for the Christmas campaign, which tell you what is still possible in a given month. Underneath those, each product carries its own production time, running from 4 to 36 business days, and each destination its own shipping estimate. The bands tell you whether to start; the product page tells you whether you will make it.

Approval is the stage that quietly eats weeks. Design concepts and a quote come back within 24 hours, so the front of the process is fast. Getting sign-off from marketing, then from whoever owns the budget, then from the person who noticed the logo looked slightly off, is what turns a three-week timeline into a six-week one. Monday Merch does not publish a fixed allowance for customer approval and revisions, so that time is yours to budget and yours to lose.

What follows is the Christmas range organised by the thing that matters most at this point in the year: how long each product takes to make. Three bands, twenty-one products, and an honest note on what each one costs you in time.

Read the December row carefully, because it is the one that surprises people. It is not that branded merch gets difficult in December. It is that branded merch is over. If a logo has to appear on anything, the decision belongs in November at the latest.

Missed it? Send a New Year pack instead

There is a second option in the November band that most people never consider, and it is better than the compromise they usually settle for.

Instead of stripping the branding out to squeeze something through before the 25th, order properly and deliver in January as a New Year gift pack. You keep the custom work, the packaging and the quality. You also get something a Christmas gift cannot give you: people are back at their desks, nothing is competing for their attention, and the gift lands as motivation for the year ahead rather than as one more parcel in the December pile.

It also lets you order after everyone has made their choice rather than guessing sizes and preferences under time pressure. If you are reading this in late November and the honest answer is that Christmas has gone, this is the better brief.

There is also a lever that removes the deadline problem altogether, and almost nobody uses it. Christmas orders qualify for free warehousing: order early, and we store the gifts at no cost until you want them released. Projects started as early as August qualify. That separates the production clock from the delivery clock entirely, which is the only real way to stop having this conversation every November. What the bands do not do is give you a date. They tell you whether to start, not whether you will make it. For that you need the product and the destination, which is the rest of this article.

Start with the in-hands date

Choose the date when the gifts need to be with the recipient, then work backwards using the live delivery timeline on the product page. Four inputs decide the answer:

  • The destination country

  • The product’s standard production time

  • The live shipping estimate for that destination

  • Your own approval and revision plan

Monday Merch publishes free designs and a quote within 24 hours, and product timelines show this stage as 0 to 1 business day. A fixed allowance for customer approval is not published, so it is not built into any of the numbers below.

A standard kitting allowance is not published either, and neither is a Christmas courier-capacity buffer. If your project involves packs, individual home delivery or a firm event date, ask your Monday Merch contact for a project-specific schedule rather than assuming one.

A printed card is the most underrated item in corporate gifting, and the numbers explain why it gets skipped: it is cheap, it is small, and it does not photograph well. Five business days, minimum of ten units, available in A5 or A6 with single-sided or double-sided full-colour printing.

Here is the argument for it anyway. The difference between a box of products and a gift is almost entirely the card. A pack arriving with no message reads as logistics; the same pack with a printed card and a handwritten name reads as a gesture from a person. This is the standard fallback when custom packaging has run out of runway. A card plus coloured filling in a stock box is a respectable unboxing, and you can still order it when the printed box is no longer reachable.

How to set a reliable Christmas deadline

Check the band first. If it is already the third week of November, no amount of working backwards will produce a branded gift, and the honest answer is a pre-made one. If you are inside the window, the arithmetic below gives you the date.

Open the chosen product page and select the destination in the delivery timeline. Use the later end of the published shipping range when working backwards from the required in-hands date. Then add the product’s standard production time, and keep your internal approval date earlier than that calculated production start, because the site states that revisions or later approval move delivery.
